What’s It Really Cost?

Whether you’re selling a service (catering, graphics, design, writing) or a product (shipping, manufacturing, construction) there’s an estimated cost and an actual cost. You can estimate how long a job will take, what the materials will cost, how much income you have, what you’re spending and how much profit you’ll make, or you can actually sit down and price it out, account for it.

Too many of us “guesstimate,” not estimate. We think something will take five hours, but learn that it really takes ten. We forget to factor in things like gas, phone calls, down time, conversations, emails and all the little things that turn a twenty-minute sales call into a two-hour time suck.

If you do nothing else for one month, begin tracking your time. If you like technology, download a free app from the Internet, like Basecamp, timeEdition, or something similar. If you’re low tech, use a notepad and pen and write down when you start and when you stop an activity like a phone call, or writing a letter, or going through your email or even taking lunch. Get a realistic image of where you spend your time and how you spend it. Then, factor in the actual cost of your time in terms of your overhead—rent, utilities, gas, phone, internet, paper, office supplies, snacks, water, soda, coffee etc. and see how much you need to make to cover your expenses and turn a profit.

Start looking at all your numbers. You’ll either find you need change quite a few things, or that you’re doing okay or even better than you thought. After all, a successful business is what happens when you know what all your numbers really are.
